November MORC Board Meeting Minutes
Location: REI Bloomington
Date: 11/8//11

Board Attendees: Reed Smidt, Susannah King, Amanda Sholz, Ryan Lieske

Other Attendees: Brendon Hayes, Bob Shepherd, Mark Gavin, John Lundell, Drew Klees, Chris Anderson

* Treasurers Report plus offshoot discussions
- Mark went through P&L statements, Balance Sheet, etc.
Mark has everything on quickbooks, but is still sorting out accounts, budgets vs expenses, etc.
- Request to get inventory of "big" MORC-owned items. Trailers, DRs, Trimmers, etc.
"Big" is arbitrarily defined as stuff that is worth more than $250, so it doesn't include hand tools.
Bob S will take an action item to ask around and try and find out what we have.
- Susannah went through key details of expenses and deposits
- Motion to approve budget. passed.

Other discussion items, mixed in with President's report, Event Director reports, etc.

* Cuyuna and race-oriented items:

- MORC will no longer host the Salsa 24 or the Freewheel Frolic

- Another MNSCS race picked up the slot that was vacated by the Frolic
- For MORC, the Frolic is repaced with Cuyuna Fest. Will be more of a festival than a race.

- The 24 is officially turned over to Muddy Paws Racing, who will continue it at Afton
MORC can optionally supply volunteers in return for donation cash
- For MORC, the 24 event will be replaced by the Rusty Ride 25/50/100 August 18 at Cuyuna
- Same weekend as Heritage Festival. Should be mutually beneficial.

* Storage
- Access is a hassle. Limited keys. Better option is desired.
- Mark suggests new place on American Blvd.

* Socks, Jerseys, etc.
- Need to know what we have and make it available. Amanda has an inventory.
- Need to present workable options to suppliers.
- Need a better way to fulfill orders. Prefer this to be done by third-party.

* Swag - Handouts

* Worker t-shirts. Need a new style.
- T-shirts with ties didn't go over well.
- Want shirts that people can also ride in, wear to other biking events as advertisement

* Of-the-year awards.
- Still a couple to give out
- Need to post announcements on forums

* MORC membership stickers

* Cuyuna fund raising and membership goals
- Hansi sent out email. Discussion about goals outlined in email.

* Nominating new board members
- Set up a nominating committee to go through applications and make recommendations
- Board will vote, as per by-laws

* Annual planning meeting will be held at Woodbury hall.

* Web site changes underway (John and Chris)
- Gathering ideas by December meeting. Jan 1 deadline for ideas.
- New site before 2012 riding season

* Motion to adjourn. Passed

I just wanted to give the board credit for dropping the two-four. I have fun there every year but I think for the amount of effort MORC board members and event planners put into it every year... MORC can get more bang for the buck with something else for that much energy.

I also think the board and other volunteers will have more fun overall up at Cuyuna then they would have at Afton. Volunteering at that level really is a lot of work. I can't imagine how you guys get all that done while working full-time jobs, going to other MORC related meetings and doing other things with family and such. The people doing that should be able to have some fun too.

I'm also thinking it's a better place for advocacy and making some $$ for MORC. The trail in Cuyuna is 100 times sweeter too.

So, thanks for the 24 all these years and looking forward to the new event.

Read the Nov minutes posted. I have some input to the following -

* Storage (maybe use a key lock box like Realtors used - one key and those whom need access know the combo. Possible keep in locked on fence at storage site?)

(check out http://www.champ-sys.com/index.php (http://www.champ-sys.com/index.php) they will do short runs and have many options for product. We use them for our gear. Go to the FAQ first...see bottom of home page. I beleive 10 is minimun run of any one item type. Possibly they can do the one off third party too if a process is defined. I suggest looking at the long sleve downhill Jersey for trail work and riding ect. Strong Light weight material very Vented and you can pull the sleeves up if you dont want sunscreen or arm protection. RZ wears his at Hillside trail work.
